EdIndex Service Rentention Policy

Purpose and overview

The EdIndex service will comply with data protection legislation by regularly deleting personal data it no longer requires1. This mainly relates to logging data recorded during browsing. Logs are kept to enable fault-finding & indicate general service usage.

The EdIndex service has a small number of accounts for those who manage the data and submit properties for the Mid Market Rental dataset. These are created when a person joins the team, and removed when they leave.

This policy will reflect the distinction thus:

“User” is any connection that browses the site. The primary piece of personal information held is IP Address.

“Contributor” is a person who has an account to manage data within the system, and we hold a name and an email address.

General Data Retention

The infrastructure that the EdIndex service is built upon takes nightly backups of the service. The backups are retained for 4 weeks.

System Data Retention for Service Operations

This policy was approved on 5th October 2020 by City of Edinburgh Council and is effective from 5th October 2020.
